Do I need a Google account if I use Outlook for email?

You need one to own the Drive folder, since that's where the files go, but it doesn't have to be the account you read mail in. Plenty of people run Microsoft 365 for email and a personal Google account for storage. You connect the Google account once, and Outlook only ever sends mail to the forwarding address.

Can it save to OneDrive or SharePoint instead?

Not today. Quicktion writes to Google Drive. If your files have to live in OneDrive, Power Automate is the honest answer for that side, though you'll be building the PDF step yourself.

What exactly ends up in Google Drive?

One folder per email inside the folder you picked. It contains email.pdf (the rendered message, with a header block for sender, recipients, date and subject), email.html (the original HTML, in case you want the message exactly as it was built), and every attachment under its original filename.

Can I control how the folders are named?

Yes. Each destination has a name pattern you can edit in the dashboard. It supports {date}, {subject}, {sender} and {domain}, and defaults to {date}_{subject} so folders sort chronologically. A common alternative is {domain}_{date} when you want everything from one vendor grouped together.

Does Quicktion get access to my whole Drive?

No. The Drive permission Quicktion asks for is drive.file, which only covers folders you pick and files Quicktion creates. It cannot list, read or touch anything else in your Drive. If you already connected Google for a Sheets destination, the same connection covers Drive, so there's no second consent screen.

How close is the PDF to the original email?

For receipts, invoices, confirmations and normal business email, close enough that you'd struggle to tell. Heavy marketing HTML with elaborate layouts sometimes renders differently, which is exactly why the original email.html is saved next to the PDF in every folder. Open that one in a browser and you have the message as the sender built it.

Does this work with Microsoft 365 Exchange accounts?

Yes. Microsoft 365 (formerly Office 365) uses Exchange Online under the hood, and Exchange supports mailbox rules with a "forward to external address" action. Quicktion receives the forwarded message like any inbound email and saves it to your destination. Your IT admin may need to allow outbound forwarding to external domains depending on the tenant's security policy — this is a standard Exchange setting, not a Quicktion-specific configuration.

Does this work with Outlook.com personal accounts?

Yes. Outlook.com (the free personal Microsoft account) supports inbox rules with a "Forward to" action. Go to Settings → Mail → Rules → Add new rule to set it up. Same flow for Hotmail and Live.com accounts, which are all served by the same Outlook.com backend.

How do I set up an auto-forward rule in Outlook?

In Outlook for web or the Outlook desktop app: Settings → View all Outlook settings → Mail → Rules → Add new rule. Pick a condition (most common: sender contains, subject contains, or from a specific folder), set the action to "Forward to" and enter your Quicktion destination address. Save and the rule runs on every matching message from that point forward.

Will my IT admin block this?

Quicktion doesn't use any Microsoft API — no OAuth into your tenant, no Graph API permissions, no app registration in Azure AD. It's just standard email forwarding to an external domain. The only thing your IT admin would need to allow is outbound mail to in.quicktion.io, which is the same permission level required to send email to any external recipient. If your tenant has a strict data-loss-prevention policy blocking all external forwarding, that's a separate conversation to have with IT.

Do I need to install anything in Outlook?

No plugins, no add-ins, no desktop software. You use Outlook exactly as you already do — the only setup is adding one mailbox rule that forwards matching messages to your Quicktion address. Everything else happens on the Quicktion side.

How much does Quicktion cost?

Are my emails stored on your servers?

Only temporarily, while we process them into the destination. Raw emails are deleted after 30 days on the free plan (90 days on paid) and credentials for your destination are encrypted at rest with AES.

Can I connect multiple accounts?

Yes. You can connect multiple destination accounts (for example, two separate Notion workspaces or a Notion + an Airtable account) and route different forwarding addresses to different destinations.

Why Outlook users pick Quicktion for Google Drive

Outlook users get treated as an afterthought by most email-to-database tools. Notion Mail was Gmail-only and is being shut down in September 2026 anyway. Notion Calendar still doesn't support Microsoft 365 calendars. Most third-party tools built in the last few years went Gmail-first and never came back for Outlook.

Quicktion is email-client agnostic. It's just an email address on our side — you forward (or auto-forward via Outlook rules) any message to your dedicated Quicktion address, and it lands as a PDF in a folder of its own. Exchange, Microsoft 365, Outlook.com personal, Outlook for Mac, Outlook for iOS — all work the same way because forwarding is native to every Outlook variant.

Outlook has no path into Google Drive at all. Microsoft's own tooling files things in OneDrive and SharePoint, Power Automate has no Drive-from-Outlook action worth the setup, and printing a message to PDF leaves you renaming files by hand and downloading attachments one at a time. A mailbox rule pointed at a Quicktion address covers it: the message arrives, and a folder shows up in Drive with the PDF, the raw HTML and the attachments in it. Nothing to install in Outlook and nothing for IT to approve in Azure AD.
