Turn a shared inbox into a triaged Notion database
A partnerships@ or press@ inbox collects three kinds of mail at once: real partner requests, vendor pitches, and journalists on a deadline. All of it looks the same in the inbox, so someone reads every message, guesses what it is, and pastes the useful ones into Notion by hand. Two weeks in, that someone stops.
Quicktion gives the mailbox a private forwarding address connected to a Notion database. Add a forwarding rule to the shared mailbox and every new email becomes a page: subject, sender, date, the full body and any attachments. On the Pro plan, AI Email Intelligence reads each email and fills the properties you define, like Company as text and Intent as a select with your own options, so a filtered view per intent does the triage. Not a router between databases, but a database that sorts itself.
What lands in your database
| From the email | Into your database |
|---|---|
| Subject | Title property |
| Sender name and address | Text and email properties |
| Received date | Date property |
| Email body | Page content, formatting kept |
| Company, contact name (AI, Pro) | Text properties you define |
| Intent: partner request, vendor pitch, press inquiry (AI, Pro) | Select property with your options |
| Status = New (default value) | Select property, pre-filled |
Rows marked (AI, Pro) use AI Email Intelligence, available on the Pro plan. Standard mapping — subject, sender, date, body, attachments — is included free.

Build the database
Create a Notion database with the properties you want to sort by: Company (text), Intent (select with your categories), Status (select), plus whatever else you track. Connect it to a Quicktion destination and the standard email fields map automatically.
Turn on AI extraction
On Pro, open the destination's AI Processing section, pick Company and Intent as properties to fill from the email, and add a body prompt if you want a two-line summary at the top of each page instead of the full thread.
Forward the shared mailbox
Add a forwarding rule on the mailbox itself. In Google Workspace that's a filter or routing rule on the group address, in Outlook a server-side rule on the shared mailbox. Point it at your private address, something like partnerships-x7k2m@in.quicktion.io.
Triage in views, not in the inbox
Make one filtered view per intent (Intent = Press inquiry, sorted by date) and a board grouped by Status. New mail lands as pages within seconds; whoever owns press or partnerships works their view.
