How to Send Emails to Notion (Step-by-Step Guide)

Notion doesn't have a built-in email address. You can't CC a Notion database or forward a message to notion.so and have it show up in your workspace. But that doesn't mean it's hard to send emails to Notion.

With a forwarding service like Quicktion, you get a unique email address tied to any Notion database. Send an email to that address and it appears as a new page in Notion within seconds. It works with Gmail, Outlook, Apple Mail, or any other email client.

Sending Emails from Gmail

Gmail users have two options for sending emails to Notion.

Manual Forwarding

Open any email, click Forward, paste your Quicktion address, and send. The email lands in Notion within seconds.

Auto-Forwarding with Filters

For a hands-off workflow, set up Gmail filters to forward emails automatically:

  1. Open Gmail Settings and go to Filters and Blocked Addresses
  2. Click Create a new filter
  3. Set your criteria (e.g., from a specific sender or with specific keywords)
  4. Click Create filter and check Forward it to
  5. Enter your Quicktion forwarding address

Every email matching your filter is sent to Notion without any manual effort. This is great for newsletters, receipts, or emails from specific clients.

Gmail Add-on

If you prefer a point-and-click workflow, Quicktion also offers a Gmail add-on. It adds a sidebar panel inside Gmail where you can save any email to Notion with one click. You can choose the destination, edit properties, and add tags before saving.

Sending Emails from Outlook

Outlook supports rules-based forwarding that works the same way.

  1. Go to Settings > Mail > Rules
  2. Click Add new rule
  3. Name your rule and set conditions (e.g., emails from a specific sender)
  4. Under Actions, choose Forward to and enter your Quicktion address
  5. Save the rule

Sending Emails from Apple Mail and Mobile

Apple Mail on Mac

Apple Mail supports rules for automatic forwarding:

  1. Go to Mail > Settings > Rules
  2. Click Add Rule
  3. Set your conditions (e.g., "From contains newsletter@")
  4. Set the action to Forward Message and enter your Quicktion address

iPhone and Android

On mobile, manual forwarding is the simplest option. Open the email, tap Forward, enter your Quicktion address, and send. This works the same way in the default mail apps for iOS and Android, as well as third-party apps like Spark and Outlook Mobile.

If you want automatic forwarding from your phone, set up the filter rules in Gmail or Outlook on the web. Those rules apply to all incoming emails regardless of which device you read them on.

What Gets Saved to Notion

When you send an email to your Quicktion address, it extracts and saves:

  • Subject -- becomes the page title
  • Sender -- name and email address, mapped to a text or email property
  • Date -- when the email was sent, mapped to a date property
  • Body -- converted to Notion blocks with formatting preserved (headings, lists, links, bold, italic, and images)
  • Attachments -- PDFs, images, and documents are uploaded and linked to the page
