Customize Fields in the Add-on
Field Mappings and Default Values
When you create a destination from the add-on, you choose which email fields (subject, sender, date, body, attachments) map to fields in your Notion database, Airtable table, or Google spreadsheet. You can also set default values for any supported field — for example, a status of "To Review" or a tag of "Email."
These defaults are applied automatically every time you save an email to that destination.

Edit Before Saving
For Notion and Airtable destinations, the add-on shows a pencil icon next to each destination button. Click it to review and modify field values before saving:
- Open an email in Gmail and click the Quicktion icon.
- Click the pencil icon next to the destination you want to save to.
- The add-on shows all mapped fields pre-filled with email data and default values.
- Edit any field — change the subject, update a tag, override a default.
- Click Save.
These edits are one-time — they only apply to the email you are saving. Your destination's default configuration stays unchanged.
Note: Edit-before-saving is not available for Google Sheets destinations.
Tips for Faster Workflows
- Use defaults for repetitive values. If most emails get the same tag or status, set it as a default on the destination and skip the manual step.
- Create multiple destinations. If you save emails for different purposes (e.g., one for support tickets, one for receipts), set up a destination for each with its own field mapping and defaults. Each workflow gets exactly the fields it needs.
- Use edit-before-saving selectively. For routine saves, click the destination button directly. Use the pencil icon only when you need to add context or override a default for a specific email.
