How Properties Work in the Add-on

When you save an email with the Quicktion Gmail add-on, the panel shows properties from your Notion database. You can control which properties appear, their order, and their default values.

Choose Which Properties Are Shown

Not every property in your Notion database needs to appear in the add-on sidebar. To configure which ones are visible:

  1. Open the Quicktion panel in Gmail.
  2. Select a destination.
  3. Click the Settings icon (gear) for that destination.
  4. You will see a list of all properties from the linked Notion database.
  5. Toggle each property on or off to control whether it appears in the save panel.

Only the properties you enable will show up when you save an email. This keeps the sidebar clean and focused on the fields you actually use.

Reorder Properties

You can change the order in which properties appear in the save panel:

  1. Open the property settings for a destination.
  2. Drag properties up or down to set the order you prefer.
  3. The property at the top of the list appears first in the save panel.

Put the properties you use most often at the top so they are immediately visible without scrolling.

Set Up Quick-Save Defaults

If you frequently save emails with the same property values, you can set defaults to avoid filling them in every time:

  1. Open the property settings for a destination.
  2. For any property, set a default value. For example:
    • Set a default Status of "To Review."
    • Set a default Tag of "Email."
    • Set a default Priority of "Medium."
  3. Save your settings.

When you open the add-on to save an email, these defaults will be pre-filled automatically. You can still change them on a per-email basis before saving.

Tips for Faster Workflows

  • Keep it minimal. Only enable the properties you actually need. Fewer fields means faster saving.
  • Use defaults for repetitive values. If most emails get the same tag or status, set it as the default and skip the manual step.
  • Create multiple destinations. If you save emails to different databases for different purposes (e.g., one for support tickets, one for receipts), set up a destination for each with its own property configuration. This way each workflow has exactly the fields it needs.
